A premier law firm is seeking a highly organized and service-driven administrative professional to support attorneys in its Miami office. This position provides comprehensive administrative assistance to both partners and associates and plays a key role in ensuring daily operations run smoothly. The ideal candidate will bring prior experience in a legal or professional services setting, a collaborative mindset, and a commitment to delivering high-quality support in a fast-paced environment.
This role offers the opportunity to work closely with legal teams, contribute meaningfully to client service, and grow within a sophisticated professional setting.
Work Schedule: Monday through Friday, 9:00 a.m. to 5:00 p.m., with flexibility for overtime as business needs require.
Key Responsibilities

Document Preparation and Processing: Draft, edit, format, and finalize legal documents, correspondence, spreadsheets, and presentations using standard office and document management software.

Administrative Support: Handle attorney time entries, expense processing, scheduling, calendar coordination, travel planning, and conflict check requests.

Research and Records Management: Assist with research tasks, organize and maintain electronic and physical files, and ensure compliance with internal procedures.

Team Collaboration: Work closely with internal departments such as accounting, operations, and production services to support attorneys efficiently.

File Accuracy and Organization: Maintain accurate, accessible, and well-organized records in accordance with firm policies.

Proactive Assistance: Anticipate attorney and team needs and offer solutions that improve workflow efficiency and client service.
Qualifications

High school diploma or equivalent required; bachelor’s degree preferred.

At least three years of experience providing administrative support, ideally in a legal or professional services environment.

Proficiency in Microsoft Word and Outlook, with working knowledge of Excel; experience with Adobe Acrobat and PowerPoint is a plus.

Florida Notary Public certification or willingness to obtain certification.

Strong organizational skills, attention to detail, and the ability to manage multiple priorities.

Excellent written and verbal communication skills with a professional and collaborative demeanor.
